How the connection works.

Voqal AI connects to Microsoft 365 through the Microsoft Graph API using OAuth 2.0 authentication. Your IT administrator approves the connection once, and every authorised user's calendar becomes available to the AI receptionist.

When a caller requests an appointment, Voqal AI queries the relevant Outlook calendar for free/busy data. It considers existing meetings, focus time blocks, out-of-office entries, and tentative holds before offering available slots. Once the caller confirms, a calendar event is created with all attendees, a description, and an optional Microsoft Teams meeting link.

The integration respects your organisation's security policies including conditional access, multi-factor authentication, and data residency requirements. Your IT team retains full control over the permissions granted.

Connect Your Microsoft Account

Sign in through the Microsoft identity platform. For organisational accounts, your IT administrator may need to grant tenant-level consent through the Azure portal or Microsoft 365 admin centre.

Approve the specific permissions Voqal AI needs: read calendar availability and create calendar events. No access to email content, files, or other Microsoft 365 data is requested.

The integration works with Business Basic, Business Standard, Enterprise E3, E5, and all other Microsoft 365 plans that include Exchange Online.

Yes. When Voqal AI creates a calendar event, it can automatically attach a Microsoft Teams meeting link. Attendees receive the Teams join URL in their calendar invitation, ready to click when the meeting starts. You can enable or disable this on a per-event-type basis.

Yes. Voqal AI can access shared mailbox calendars and resource mailboxes (meeting rooms, equipment) with appropriate permissions. Your IT administrator grants access through the Microsoft 365 admin centre. This is ideal for reception desks, team booking accounts, and conference room scheduling.

Voqal AI uses the Microsoft Graph API with OAuth 2.0 authentication and supports multi-factor authentication, conditional access policies, and tenant-level admin consent. No passwords are stored. Your IT team retains full control over the permissions granted and can revoke access at any time through the Azure portal.

Voqal AI requires Exchange Online (Microsoft 365) for direct integration. Fully on-premise Exchange Server is not directly supported. However, organisations using Exchange hybrid deployments where calendars sync to the cloud can connect through the Microsoft Graph API. For purely on-premise setups, our Zapier integration can serve as a bridge.
