Voqal AI + Xero.

Connect your Xero account to Voqal AI. Client contacts synced, call activities logged, and your accountancy firm's records kept up to date — automatically, from every phone call your AI receptionist handles.

How the integration works.

Voqal AI connects to Xero through OAuth 2.0 authorisation. Once your practice approves the connection, the AI receptionist can read your client contact database, identify callers, and log structured call activity notes against the correct client record.

When a client phones, Voqal AI matches them against your Xero contacts by name, phone number, or company. Recognised clients are greeted by name and their call is logged against the right contact. New enquiries are captured with full details and added to Xero as a new contact with the appropriate categorisation.

For practices using Xero Practice Manager alongside core Xero, the integration extends further — reading job statuses, staff assignments, and deadline information so the AI can provide callers with meaningful updates on their accounts, VAT returns, or year-end filings without interrupting your accountants.

What syncs.

Client Contact Management

Voqal AI reads your Xero contacts database to identify callers instantly. New client details captured during calls — name, company, email, phone — are written back to Xero, keeping your contact records current without manual updates.

Call Activity & Note Logging

Every call handled by Voqal AI generates a structured activity note against the client's Xero contact record. Notes include a call summary, key topics discussed, any follow-up actions, and the full transcript for your team's reference.

Client Categorisation & Tagging

Contacts are automatically tagged in Xero based on call content — new enquiry, existing client, VAT query, payroll question, year-end filing, and so on. This helps your team prioritise callbacks and track client communication patterns.

Multi-Organisation Support

If your practice manages multiple Xero organisations, Voqal AI can access the relevant one based on the caller. This is essential for firms managing bookkeeping, payroll, or accounts for multiple client entities from a single practice.

Live in three steps.

1

Authorise Your Xero Account

Connect Voqal AI to Xero via OAuth. Your practice administrator approves the integration from within Xero — the connection is encrypted and permissions are scoped to contacts and activity logging only.

2

Map Categories & Sync Rules

Configure how new contacts are categorised, which organisations the AI can access, and what tagging rules apply to different call types. Set up any custom fields your practice uses for client tracking.

3

Enable Automatic Logging

Activate the integration and Voqal AI begins matching callers to Xero contacts, logging call activity, and syncing new client details — from the very first call your AI receptionist answers.

Built for accountancy practices.

The Xero integration is designed for how UK accountancy firms actually work — handling the seasonal call surges around self-assessment deadlines, VAT quarters, and year-end filing periods. See our dedicated AI receptionist for accountants page for the full picture of how Voqal AI serves the profession.

  • Small accountancy practices — handle client calls during January self-assessment rush and VAT quarter deadlines without missing enquiries or leaving existing clients on hold.
  • Bookkeeping firms — manage calls from multiple clients whose records sit in separate Xero organisations, routing each query to the correct account manager with full context.
  • Tax advisory firms — capture new tax planning enquiries with structured intake, logging the caller's situation, deadlines, and fee expectations against a new Xero contact.
  • Multi-partner practices — route client calls to the correct partner's team based on Xero contact assignments, reducing internal transfers and ensuring continuity of service.
  • Firms managing MTD compliance workload — provide callers with status updates on their VAT submissions and quarterly filings without pulling accountants away from their work.

Frequently asked questions.

Yes. Voqal AI connects to both Xero (accounting) and Xero Practice Manager (XPM). When used with XPM, the integration can access client jobs, task lists, and staff assignments — allowing the AI to provide callers with updates on their work status and route queries to the correct team member.

Absolutely. If your practice manages multiple Xero organisations — whether for different entities within your firm or for client accounts you administer — Voqal AI can access the relevant organisation based on the caller. This is particularly useful for practices that manage payroll or bookkeeping across several client Xero accounts.

The sync is bidirectional. Voqal AI reads existing contacts from Xero to identify callers, and it can create or update contact records in Xero when new information is captured during a call — such as a changed phone number, new email address, or updated company name.

Voqal AI is built to operate well within Xero's API rate limits. Contact lookups and activity logging are handled efficiently, with intelligent caching to minimise API calls. Even high-volume practices will not encounter rate limit issues under normal usage.

Yes. While the integration focuses on contact management and call logging rather than tax submissions, Voqal AI is aware of key MTD deadlines. It can inform callers about upcoming VAT return dates and self-assessment deadlines based on their filing schedule, helping your practice manage client expectations during busy periods.
